Bilingual Personal Injury Legal Assistant

Job Type: Full-Time

Work Hours: Monday to Friday, 8:30 AM to 5:00 PM Pacific Time with a 30-minute break

Salary: $1,400 per month

Job Overview: 

We are seeking an experienced Bilingual Personal Injury Legal Assistant to support a growing personal injury practice. This is not an entry-level position. The successful candidate should have practical experience supporting pre-litigation personal injury matters and be comfortable handling client intake, opening insurance claims, requesting medical records and bills, client follow-up, demand preparation, lien-related work, calendaring, and general case management. The ideal candidate is highly organized, proactive, and able to manage multiple priorities in a fully electronic, paperless environment while providing excellent client service. The firm will provide training on its internal processes and systems, but candidates should already have a strong understanding of the personal injury process.

Key Responsibilities:

  • Assist with personal injury intake and new-client sign-ups.
  • Communicate with clients in both English and Spanish.
  • Open new personal injury files and insurance claims.
  • Send and manage DocuSign documents and client paperwork.
  • Request medical records and medical bills from healthcare providers.
  • Follow up with medical providers regarding outstanding records and billing.
  • Communicate with clients regarding treatment, appointments, procedures, case updates, and outstanding documentation.
  • Calendar client appointments, procedures, deadlines, and other case-related events.
  • Assist with the preparation and drafting of personal injury demand packages.
  • Assist with lien negotiations and lien-related communications.
  • Maintain complete, accurate, and organized electronic case files.
  • Assist the PI Case Manager with general case management responsibilities as needed.
  • Help ensure documents, correspondence, records, and case information are properly saved and organized in the firm's paperless system.
  • Assist with workers' compensation client sign-ups when necessary before transferring the matter to the firm's workers' compensation team.
  • Provide overflow support wherever needed within the PI department.

Required Skills & Qualifications:

  • At least 2 years of practical personal injury experience is preferred.
  • Prior experience working with a U.S. personal injury law firm.
  • Fluent in spoken and written English and Spanish.
  • Experience with personal injury intake and client sign-ups.
  • Experience opening insurance claims.
  • Experience requesting and organizing medical records and medical bills.
  • Familiarity with demand preparation.
  • Understanding of lien negotiations and the pre-litigation personal injury process.
  • Strong client communication skills.
  • Highly organized and capable of managing multiple active matters simultaneously.
  • Patient and professional when communicating with demanding or anxious clients.
  • Proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
  • Comfortable working in a fully paperless environment with electronic file management.
  • Strong working knowledge of Microsoft Outlook, Microsoft Word, Microsoft Excel, Microsoft Office Suite, DocuSign, and Dropbox.
  • Experience drafting personal injury demand packages is preferred.
  • Experience negotiating or assisting with lien negotiations and reductions is preferred.
  • Familiarity with Filevine is a plus but is not required. The firm will provide training on its Filevine workflows and processes.
  • Experience assisting with workers' compensation intake is a plus.

Note: An NBI or police clearance will be required upon acceptance of the job offer.
