Records Clerk (Personal Injury)

Job Type: Full-Time

Work Hours: Monday to Friday, 8:30 AM to 5:30 PM Pacific Time, with a 1-hour unpaid break

Job Overview: 

We are seeking a full-time, dependable Records Clerk to join our fast-paced Personal Injury law firm and support our legal team by managing critical case documentation that drives case strategy and resolution. This role is responsible for requesting, tracking, following up on, and organizing all medical and accident-related records, including Traffic Collision Reports (TCRs), medical records, billing statements, and balance confirmations, ensuring accuracy, completeness, and timely receipt. The ideal candidate is a self-starter with strong organizational skills, excellent follow-through, and the ability to manage high-volume requests in a deadline-driven environment while adhering to established procedures and maintaining confidentiality.

Key Responsibilities:

  • Request, track, and obtain medical records, billing statements, and itemized bills from healthcare providers and hospitals
  • Request and follow up on Traffic Collision Reports (TCRs) from police departments, CHP, and third-party vendors, and other records requests as assigned.
  • Request and confirm outstanding balances from medical providers and billing offices to support lien negotiations and settlement
  • Maintain accurate logs and notes in the case management system regarding all documentation activity
  • Review and organize received records for accuracy, completeness, and relevance to the case timeline
  • Communicate with providers, law enforcement, and clients to resolve missing or incomplete documentation
  • Assist legal staff by ensuring timely access to all relevant records and reports
  • Maintain strict compliance with HIPAA and firm confidentiality standards
  • Prepare records packets and documentation summaries as needed for demand writing, negotiations, or litigation
  • Assist with other administrative duties as needed

Required Qualifications:

  • Prior experience in a personal injury law firm, medical office, or legal administrative setting preferred
  • Familiarity with TCRs, medical records, billing processes, and balance confirmations
  • Strong organizational and multi-tasking skills
  • High attention to detail and accuracy
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office and legal case management software
  • Knowledge of HIPAA compliance standards

Note: An NBI or police clearance will be required upon acceptance of the job offer.
