Property Operations Associate

Job Type: Full-Time

Work Hours: Monday to Friday, 9:00 AM to 5:30 PM Pacific Time, with a 30-minute break

Job Overview: 

We are looking for a detail-oriented Property Operations Associate to manage financial records and provide administrative support for a property management company. This position supports both the financial and operational functions of a growing real estate and property management platform, ensuring each property’s books, leases, and service workflows are accurate and up to date. The ideal candidate will handle bookkeeping tasks such as categorizing transactions, preparing balance sheets, and reconciling accounts, while also managing communication with tenants and contractors, organizing documentation, and supporting day-to-day operations. This role requires strong organizational skills, accounting knowledge, and the ability to work independently in a remote setup. Experience with property management tools, like Doorloop, Appfolio, Yardi, or Buildium, is a strong advantage.

Key Responsibilities:

  • Bookkeeping & Accounting
    • Record and categorize all financial transactions, including income and expenses.
    • Maintain up-to-date and accurate general ledger entries.
    • Prepare and reconcile bank statements and financial reports.
    • Generate balance sheets, income statements, and other financial summaries.
    • Track accounts payable and receivable; ensure timely invoicing and payments.
    • Assist with budgeting, expense tracking, and month-end reporting.
    • Maintain documentation for audits and internal reviews.
  • Administrative & Operational Support
    • Coordinate with tenants for lease updates, insurance certificates, rent tracking, invoice follow-ups, and service requests.
    • Liaise with contractors and vendors regarding service schedules, work orders, and payments.
    • Manage internal files, including contracts, tenant records, and maintenance logs
    • Support general administrative duties such as email correspondence, calendar scheduling, and document preparation.
    • Update and maintain the property and tenant database to ensure accuracy and consistency.
    • Respond promptly to internal and external inquiries.
    • Liaise with contractors and vendors regarding service schedules, work orders, bids, and capital improvement projects.
    • Assist with ad hoc projects that support business growth, such as procuring contact lists or market information for potential clients, creating basic marketing materials, and fielding inbound calls or inquiries.

Qualifications:

  • At least 2 years of experience in bookkeeping, accounting, or administrative support for a real estate management or investment company
  • Familiarity with Doorloop, Appfolio, Yardi, Buildium, or other property management software
  • Proficiency with accounting tools (e.g., QuickBooks, Xero)
  • Google Workspace or Microsoft 365 (especially Word, Powerpoint, Excel, PDF, and Drive)
  • Strong understanding of financial reporting, reconciliation, and accounting best practices
  • Previous experience in a property management or real estate setting is a plus
  • Excellent attention to detail and organizational skills
  • Strong communication skills, both written and verbal
  • Ability to work independently and manage multiple priorities in a remote setting
  • Experience reviewing leases, rent rolls, and CAM/utility reconciliations is strongly preferred
  • This role offers exposure to property management, accounting, and asset operations, with the opportunity to grow into expanded responsibilities as the company scales
