Maintenance Service & Leasing Coordinator

Job Type: Full-Time

Work Hours: Monday to Friday, 8:00 AM to 5:00 PM EST, with a 1-hour break

Salary: $1,000 per month 

Job Overview: 

We are seeking a Maintenance Service & Leasing Coordinator to support daily maintenance operations and provide light leasing assistance for a residential property portfolio. This remote role requires strong organizational skills, excellent communication, and the ability to coordinate maintenance activities and leasing inquiries efficiently. The ideal candidate will ensure prompt service response, accurate recordkeeping, and a positive experience for residents, contractors, and prospective tenants.

Key Responsibilities:

Maintenance Coordination

  • Receive, log, and assign maintenance work orders submitted by residents or staff through phone, email, or property management platforms.
  • Prioritize and schedule maintenance requests based on urgency, coordinating with on-site technicians and vendors.
  • Track work order progress, ensuring timely resolution and quality service delivery.
  • Follow up with residents to confirm satisfaction after work completion.
  • Maintain digital records of vendor invoices, warranties, inspection logs, and maintenance reports.
  • Support preventive maintenance scheduling and compliance tracking.
  • Assist with unit turnovers and make-ready coordination by managing inspection reports and contractor timelines.

Leasing Support

  • Respond to leasing inquiries via phone, email, or chat, providing information on available units, rates, and qualifications.
  • Record and manage prospective resident information in CRM or property management software.
  • Schedule and coordinate virtual or on-site property tours.
  • Support marketing initiatives, lease documentation, and move-in preparations as needed.
  • Maintain familiarity with affordable housing programs (LIHTC, Section 8) and market-rate leasing practices.

Administrative Support

  • Communicate professionally with residents, contractors, and internal teams.
  • Ensure all data is accurately logged and updated across systems.
  • Prepare and submit maintenance and leasing activity reports as required.

Qualifications:

  • 2–4 years of experience in maintenance coordination, property management, or leasing administration.
  • Experience in multifamily housing environments is preferred.
  • Strong organizational, multitasking, and time-management abilities.
  • Excellent written and verbal communication skills.
  • Working knowledge of building systems (HVAC, plumbing, electrical, mechanical) is an advantage.
  • Familiarity with property management software such as Yardi, AppFolio, or RealPage.
  • Customer service-oriented with professional phone and email etiquette.
  • Ability to work independently in a remote environment while collaborating effectively with on-site teams.

Note: An NBI or police clearance will be required upon acceptance of the job offer.
