Work Hours: Monday to Friday, 8:00 AM to 5:00 PM Pacific Time, with a 1-hour unpaid break

Job Overview

We are seeking a proactive and detail-oriented Maintenance Coordinator to support the operations of a well-established property management team overseeing a diverse portfolio of residential and investment properties. The ideal candidate will handle maintenance requests, coordinate with vendors, and ensure timely, high-quality resolution of issues while upholding strong service standards.

Key Responsibilities

  • Serve as the first point of contact for maintenance-related tenant inquiries.
  • Review and prioritize maintenance requests based on urgency and impact.
  • Coordinate and schedule service providers and contractors, overseeing routine and emergency repairs.
  • Track progress and quality of work, ensuring tasks are completed on time and within budget.
  • Maintain and update electronic work orders, vendor records, and expense reports.
  • Liaise with property management and finance teams to process invoices and payments promptly.
  • Provide regular status updates to property owners and internal teams.
  • Monitor compliance with safety regulations and standards; assist with inspections and documentation.

Qualifications

  • Proven experience in maintenance coordination, property management, or a related field.
  • Experience in managing and negotiating with vendors, along with a solid understanding of maintenance work scope and costing.
  • Exceptional organizational and time management skills, with the ability to prioritize urgent tasks.
  • Proficiency in AppFolio and familiarity with other property management or ticketing software.
  • Strong interpersonal skills for coordinating with vendors, clients, and tenants.
  • Excellent verbal and written communication skills.
  • Ability to perform under pressure in emergency situations.
  • Experience with residential property maintenance in a U.S. context is preferred.
