Job Description

We seek an organized, proactive Administrative Assistant to support daily operations and enhance team efficiency. Candidate will handle scheduling, documentation, communications, and office coordination, ensuring smooth workflow across departments.

Key Responsibilities

  • Calendar & Meeting Management: Schedule appointments, meetings, and travel; prepare agendas/materials.
  • Communication Hub: Answer phones, screen emails, greet visitors, and respond to inquiries.
  • Document Handling: Draft letters, reports, and presentations; maintain filing systems (physical/digital).
  • Data & Record Keeping: Update databases, track expenses, and manage spreadsheets.
  • Office Operations: Order supplies, coordinate equipment maintenance, and assist with onboarding.
  • Project Support: Assist teams with research, event planning, and special projects.

Required Skills & Qualifications

  • Experience: 1–2years in administrative roles.
  • Tech Proficiency:
    • MS Office Suite (Word, Excel, PowerPoint, Outlook)
    • Google Workspace (Docs, Sheets, Calendar)
    • Basic troubleshooting for printers/collab tools (Zoom, Teams)
  • Soft Skills:
    • Exceptional written/verbal communication
    • Time management & multitasking
    • Attention to detail & problem-solving
    • Discretion with confidential data

Working Conditions

Schedule Mon-Fri, Morning Shift.

Environment: Office – In person

Physical Demands: Prolonged sitting, screen time; occasional light lifting (up to 25 lbs)

Salary: $23/hr.
