Job Overview:
We are seeking a reliable and tech-savvy Remote Receptionist fluent in both English and Spanish to support a fast-paced legal team. This role is ideal for someone who thrives in a structured environment and excels at managing communications, calendars, and administrative support tasks virtually. The ideal candidate will play a key role in ensuring seamless front-line communication and efficient coordination of incoming inquiries and scheduling.
Key Responsibilities:
Answer and forward incoming calls using RingCentral
Monitor and manage the shared email inbox; forward messages as appropriate
Sort and manage virtual mail using internal systems
Coordinate and maintain calendars using Outlook 365
Schedule appointments and follow up with clients as needed
Route messages, documents, and calls efficiently to internal teams
Maintain accurate and organized communication logs
Utilize FileVine (preferred) to log and track correspondence and tasks
Provide clear, courteous communication in both English and Spanish
Support general administrative tasks as needed
Qualifications:
Fluent in both English and Spanish (spoken and written)
Minimum 1 year of experience in a receptionist, administrative, or customer support role
Comfortable using virtual communication tools (e.g., RingCentral, Outlook 365)
Tech-savvy with the ability to learn new systems quickly
Experience with legal CRMs such as FileVine is a strong plus
Prior experience in a legal setting is preferred
Excellent organizational skills and attention to detail
Strong interpersonal skills and professional phone/email etiquette
Reliable internet connection and quiet home workspace
