Job Overview: 

We are seeking a reliable and tech-savvy Remote Receptionist fluent in both English and Spanish to support a fast-paced legal team. This role is ideal for someone who thrives in a structured environment and excels at managing communications, calendars, and administrative support tasks virtually. The ideal candidate will play a key role in ensuring seamless front-line communication and efficient coordination of incoming inquiries and scheduling.

Key Responsibilities:

  • Answer and forward incoming calls using RingCentral

  • Monitor and manage the shared email inbox; forward messages as appropriate

  • Sort and manage virtual mail using internal systems

  • Coordinate and maintain calendars using Outlook 365

  • Schedule appointments and follow up with clients as needed

  • Route messages, documents, and calls efficiently to internal teams

  • Maintain accurate and organized communication logs

  • Utilize FileVine (preferred) to log and track correspondence and tasks

  • Provide clear, courteous communication in both English and Spanish

  • Support general administrative tasks as needed

Qualifications:

  • Fluent in both English and Spanish (spoken and written)

  • Minimum 1 year of experience in a receptionist, administrative, or customer support role

  • Comfortable using virtual communication tools (e.g., RingCentral, Outlook 365)

  • Tech-savvy with the ability to learn new systems quickly

  • Experience with legal CRMs such as FileVine is a strong plus

  • Prior experience in a legal setting is preferred

  • Excellent organizational skills and attention to detail

  • Strong interpersonal skills and professional phone/email etiquette

  • Reliable internet connection and quiet home workspace
