Commercial Division Accounting Specialist

Job Type: Full-Time

Work Hours: Monday to Friday, 8:30 AM to 5:00 PM CT, with a 30-minute break

Salary: $1,200 per month

Job Overview: 

We are seeking a detail-oriented and proactive Commercial Accounting Coordinator to join a dynamic property management team that oversees a diverse portfolio of commercial and residential properties. This is a heavy accounting role, requiring a strong grasp of full-scope accounting, financial language, and reporting.

In addition to managing back-end financial processes, the role includes some interaction with vendors, property owners, and tenants as needed. The ideal candidate should be equally comfortable working behind the scenes and representing the company through calls, texts, and emails. A fast-paced, team-driven environment requires someone who thrives on multi-tasking, problem-solving, and continuous process improvement.

Key Responsibilities:

  • Prepare and review monthly financial reports and owner statements
  • Perform monthly CAM (Common Area Maintenance) reconciliations and bank reconciliations
  • Manage bill payments and code approvals via AVID system on a daily/weekly basis
  • Monitor cash flow, prepare budget projections, and manage loan payments
  • Track vendor invoices and ensure timely and accurate processing
  • Handle rent collections and process miscellaneous tenant billings
  • Set up and manage tenant ACH and ePay configurations
  • Calculate and process management fees and true-ups monthly
  • Assist with IL Department of Revenue tax estimate payments
  • Support utility billing tasks including issue resolution and service transfers
  • Input lease details as needed and maintain accurate lease data
  • Communicate with vendors, owners, and tenants as needed via calls, emails, and texts
  • Balance behind-the-scenes accounting work with front-facing communication responsibilities
  • Proactively identify process improvements and support the accounting team as needed
  • Complete other tasks and assignments as required by the team. 

Qualifications:

  • Minimum 2 years of experience in accounting or property management accounting
  • Solid understanding of full-scope accounting, financial terminology, and reporting
  • Excellent written and verbal communication skills, including client-facing interaction
  • Strong attention to detail and the ability to follow tasks through to completion
  • Proficiency in using accounting software; AVID or similar platforms a plus
  • Comfortable working in a fast-paced, team-oriented environment
  • Tech-savvy with a willingness to learn new tools and suggest process improvements
  • Strong problem-solving skills and ability to work independently with minimal supervision
  • Ability to communicate professionally with internal and external stakeholders

Note: An NBI or police clearance will be required upon acceptance of the job offer.
