Senior Accounts Payable Accountant

 

Job Type: Full-Time

Work Hours: Monday to Friday, 8:00 AM to 5:00 PM EST, with a 1-hour break

Salary: $1,400 per month

 

Job Overview: 

We are seeking a Senior Accounts Payable Accountant with extensive Accounts Payable (AP) and Travel & Expense (T&E) management experience, ready to apply their knowledge and expertise in a hands-on, high-impact role and make it their own. Reporting directly to the Controller & Head of Finance, this role offers broad exposure, real ownership of the AP and expense management process, and close collaboration with Accounting, Finance, and Operations leadership.

The ideal candidate is willing to own the AP and T&E process from end to end, is comfortable partnering with non-finance teams and explaining the "why" behind processes, and is eager to take on visibility, responsibility, and the opportunity to help build scalable financial processes while supporting month-end activities, vendor payments, expense workflows, and process improvements.

This role requires someone who can independently manage high-volume AP operations, oversee the AP and T&E workflows, and require minimal day-to-day guidance while helping improve the overall AP function.

 

Key Responsibilities:

Accounts Payable & Expense Management

  • Own the end-to-end AP process, including vendor onboarding, invoice coding, approvals, and payment execution.
  • Manage corporate card and employee expense workflows using Ramp.
  • Manage the AP and T&E inboxes, ensuring accurate and timely processing of high-volume invoices, vendor requests, employee expenses, and payment workflows.
  • Investigate and resolve discrepancies while maintaining strong documentation and controls.

General Ledger & Close

  • Participate in closing AP at month-end.
  • Assist with identifying month-end accruals.
  • Perform balance sheet reconciliations (AP, credit cards payable, etc.).
  • Maintain accurate financial records in NetSuite and/or Xero.

Audit, Controls & Compliance

  • Support external audits, audit requests, and walkthroughs, as needed.
  • Partner with the Head of Fin & Acctg Mgr to strengthen internal controls as the company scales

Media & Production Cost Accounting

  • Collaborate with production, editorial, and operations teams to ensure accurate AP coding and vendor information gathering, cost tracking, and reconciling trackers to the general ledger.
  • Develop an understanding of media-specific accounting areas such as production costs, talent payments, and deal-related expenses

Process Improvement & Systems & Lead Ramp / T&E Trainings

  • Identify opportunities to streamline workflows and improve efficiency using systems, Excel, and policy documentation.
  • Contribute to system optimization across AP and expense management tools.
  • Lead onboarding and training sessions for managers and new employees related to Ramp, T&E reconciliation expectations, receipt collection requirements, and expense submission best practices.
  • Educate non-finance teams on expense coding structure and departmental coding expectations to improve financial reporting accuracy, budget tracking, and spend visibility.
  • Partner cross-functionally to reinforce timely reconciliations, proper documentation standards, and consistent coding practices across the organization.

 

Required Skills & Qualifications:

  • 5+ years of progressive Accounts Payable experience, including managing high-volume AP operations.
  • Hands-on experience managing Travel & Expense (T&E), vendor management, and month-end close support.
  • Ability to independently manage AP workflows with minimal day-to-day supervision.
  • Experience with or exposure to accounting systems such as NetSuite, Xero, Ramp, or similar.
  • Ability to work independently, manage competing deadlines, and take ownership in a lean environment.
  • Bachelor's degree in Accounting.
  • Experience working in media, technology, or high-growth companies.
  • Experience in a startup or fast-scaling organization.
  • Previous experience as a Senior AP Accountant, AP Lead, or AP Manager is highly preferred.
