Property Damage Virtual Assistant

Job Type: Full-Time

Work Hours: Monday to Friday, 9:00 AM to 6:00 PM Pacific Time, with a 1-hour break

Salary: $1,000 per month

Job Overview: 

We are looking for a proactive and detail-oriented Property Damage Virtual Assistant to join the Property Damage team of a U.S.-based law firm. This role will focus on assisting with insurance-related documentation, client correspondence, and coordination with third parties such as auto repair shops and police departments. The ideal candidate is comfortable handling structured processes, managing follow-ups, and drafting formal documents to support insurance claims and legal procedures. Strong English communication skills and the ability to work independently in a fast-paced environment are essential.

Key Responsibilities:

  • Open and process new property damage claims accurately and efficiently
  • Draft SR-1 and SR-19 reports
  • Draft letters to defendants requesting insurance information
  • Draft TCR (Traffic Collision Report) letters
  • Call auto repair shops to obtain ETAs on vehicle repairs
  • Draft Letters of Understanding (LOUs)
  • Assist in follow-ups regarding vehicle estimates and insurance communications
  • Call police departments to request report numbers and obtain cost information for reports
  • Maintain updated and organized claim records and documentation
  • Track important dates, follow-ups, and progress on active claims
  • Communicate professionally with insurance companies, clients, and internal teams
  • Provide general administrative support to the Property Damage department
  • Collaborate with team members to ensure smooth claim workflows

Qualifications:

  • Minimum of 2 years of experience in a virtual assistant, administrative, or similar support role
  • Strong proficiency in English (Spanish is not required)
  • Proficiency in tools such as Filevine, Outlook, Excel, and RingCentral
  • Experience in legal or insurance fields is a plus
  • Strong organizational skills and keen attention to detail
  • Excellent verbal and written communication skills
  • Self-starter with effective time management skills
  • Comfortable using digital tools and learning new systems quickly

Note: An NBI or police clearance will be required upon acceptance of the job offer.
