Executive Assistant / Controller (CFO)

Job Type: Full-Time

Work Hours: Monday to Friday, Australian Eastern Standard Time

Salary: $1,800 per month

Job Overview: 

We are seeking a versatile and highly capable Executive Assistant / Controller (CFO) to provide direct support to the Director across executive, financial, and HR functions. This is a high-impact, full-time remote role (based in Inner Sydney – Parramatta) where you’ll manage a broad range of responsibilities including executive support, financial oversight, HR coordination, and personal assistance. Acting as a true business partner, you will help streamline operations, safeguard financial accuracy, and maintain smooth people processes while enabling the Director to focus on strategic growth.

Key Responsibilities:

  • Director & Personal Support (Lead EA stream):
  • Manage emails, calls, and calendar to optimize daily priorities.
  • Prepare presentations and documentation in line with branding.
  • Coordinate medical, personal, travel, and family commitments.
  • Oversee groceries, office supplies, and office management tasks.
  • Handle vehicle and insurance management for the Director and business.
  • Financial Support (CFO EA stream):
  • Oversee batch payments with final review and accuracy checks.
  • Manage multiple accounts (Supps, Matilda, TFO, etc.) including supplier credit accounts.
  • Analyse banking, revenues, cashflow, and inventory performance.
  • Manage purchase order boards, insurances, and financial reporting dashboards.
  • Ensure financial data integrity for reporting and decision-making.
  • HR & People Operations (HR EA stream):
  • Run recruitment campaigns (advertising, screening, shortlisting).
  • Manage onboarding, offboarding, and all HR documentation.
  • Administer performance management and KPI tracking.
  • Schedule inductions, training, and operating rhythm (1:1s, PIPs, reviews).
  • Track annual and sick leave, maintain HR scorecards, and support team culture initiatives.
  • Cross-Functional Support:
  • Assist with operations projects in collaboration with the Director and leadership team.
  • Keep the Director accountable with reporting frameworks and planning tools.
  • Implement directions and ensure follow-through across the team.

Qualifications:

  • Proven experience as an Executive Assistant, Controller, or in a similar role combining executive support, finance, and HR responsibilities.
  • Strong organisational and multitasking skills with the ability to manage competing priorities.
  • Proficiency with business platforms such as CRM, accounting, and HR systems (e.g., Zoho, Xero, or similar).
  • Strong financial acumen with experience handling payments, reporting, and account management.
  • Skilled in HR coordination, including recruitment, onboarding, performance management, and compliance documentation.
  • Exceptional communication and interpersonal skills with the ability to collaborate across teams.
  • High level of discretion, integrity, and professionalism when handling sensitive information.
  • Proactive, detail-oriented, and adaptable, with the ability to anticipate needs and resolve issues before they arise.
